Office Administrator In this position, you will work closely with Human Resources and many other Departments to assist in day to day activities.

Primary Duties and Responsibilities

  • Greet and screen guests
  • Support/screen/route incoming phone calls using Shoretel phone system features
  • Manage incoming/outgoing deliveries 
  • Mail sorting and delivery
  • Office inventory maintenance: order, inventory and organization of office supplies
  • Maintain “just so” appearance at lobby and reception areas in conjunction with office and compliance policies
  • Lobby and reception areas are clean of post-it notes, printed documents and any hand-written notes that would violate the above policies
  • Support executive staff with customer visits: conference room prep, catering, etc.
  • Facilities: manage badge and access control
  • Issue new and replacement badges
  • Issue and retrieve visitor and temporary badges
  • Close access on terminated accounts
  • Badge audits
  • Order stock supply
  • Communication liaison between property manager, facilities, security, staff
  • Oversee and ensure the security cameras live-feed is running
  • Human Resources department support
  • Emergency phone tree, monthly maintenance and distribution
  • Send out “thank you” letters to disqualified applicants
  • Liaison for on-site candidates: organize typing tests, hand-off to interviews
  • Benefits eligibility tracking, education, enrollments
  • New hire onboarding: badges, paperwork, create personnel files
  • Special projects as assigned
  • Occasional Operations Department support
  • Collaborate with other office admin personnel to align best practices, improve/document procedures
Additional Duties
  • Directly supports recruiting team with on-site evaluations with potential candidates
  • Coordinates, documents and ensures completion of post-offer background investigations and reference checks
